This privacy notice explains how we use any personal information we collect about you when you use a service run by Community Action Bradford & District. If you have questions or concerns please email our charity’s CEO, Dr Soo Nevison soo@cabad.org.uk.

Access to your information and correction

You have the right to request a copy of the information that we hold about you. If you would like a copy of some or all of your personal information, please email info@cabad.org.uk or write to us at Community Action Bradford & District, Central Hall, Alice Street, Keighley BD21 3JD. There is no charge for this.

We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.

Processing your personal data

The personal information we collect, who we share it with and how long it is kept varies depending on which service you use.

Daycare, Wellbeing and Befriending

We collect information about you to process your referral for befriending or your request to volunteer. This includes your name, photograph, contact details, interests, date of birth, medical information and next of kin.

The legal basis for processing your data is performance of a contract. This means that personal information is collected so that we can provide the service you have requested and maintain your safety whilst taking part.

Information, email correspondence and photographs are stored on our password protected server and in a locked filing cabinet for as long as you volunteer for us, or use our service and then for up to 5 years. After that time or on your earlier instruction then details would be deleted/ destroyed securely.

We only share this information as you have given permission or in cases where we are legally obliged to, for example if reporting a safeguarding concern.

Community Transport

We collect information about you to process your group’s affiliate annual membership and minibus booking. This includes your name and contact details. The legal basis for processing this data is performance of a contract. This means that personal information is collected so that we can provide the service you have requested.

Information, email correspondence is stored on our password protected server and in a locked filing cabinet for as long as you volunteer for us, or use our service and then for up to 12 months afterwards then deleted/ destroyed securely.

All volunteer drivers also provide a copy of their driver’s license and a photograph. The legal basis for processing this data is our legitimate interest. Specifically so that we can meet the terms of our insurance and maintain the safety of passengers.

Room bookings (Keighley)

We collect information about you to process your room booking. This includes your name and contact details. The legal basis for processing this data is performance of a contract. This means that personal information is collected so that we can provide the service you have requested.

Information is stored on our password-protected booking system and then for up to 12 months after the booking then deleted securely.

We do not share this information with other organisations.

Room bookings (Bingley)

We collect information about you to process your room booking. This includes your name and contact details. The legal basis for processing this data is performance of a contract. This means that personal information is collected so that we can provide the service you have requested.

Information is stored on our password-protected server and then for up to 12 months after the booking then deleted securely.

We do not share this information with other organisations.

Organisation support

We collect information about you to deal with your request for support. This includes your name and contact details. The legal basis for processing this data is performance of a contract. This means that personal information is collected so that we can provide the service you have requested and contact you to request evaluation feedback.

Information is stored on our password-protected server and database. We retain records of the support that your organisation has had but remove any personal contact details 12 months after the last contact with you. Information is deleted securely.

Colleagues at Volunteering Bradford have permission to access your details when stored on our shared database but not to share this information. We do not share your personal information with funders or other organisations.

Training

We collect information about you so we can provide training. This includes your name, email address and contact number. The legal basis for this is performance of a contract. This means that personal information is collected for the administration, delivery and monitoring of services provided by the Bradford District Infrastructure Partnership (BDIP). We may also use your email address to send you our training newsletter, with updates and news however you can opt out of this at any time if you no longer wish to receive it.

This information is stored securely on a password protected server and in a locked filing cabinet. We retain this data for the minimum duration required for the purpose stated above and for 12 months afterwards, following which your data will be wholly destroyed and deleted.

If you do not wish for your information to be processed by Community Action for the purpose described above, you can ask us to delete all or part of your data however this may affect our ability to fulfil our contractual obligation to you in providing services.

Young Lives

We collect information about you relating to your Young Lives Network and Forum membership. This data includes your name, email address and telephone number. The legal basis’ for processing this data is a legitimate and public interest. This means that personal data is collected so that we can provide the service you have requested, and send you relevant information that will be of interest.

Information is stored on a password protected server and on password protected databases and will be retained for the duration of your membership or until you no longer wish to hear from us, at which point your information will be securely destroyed.

We will not share this data with anybody outside of the Bradford District Infrastructure Partnership without prior request and consent.
